Candidate guide

Turn a job opportunity into a ready-to-send application.

Once you’ve chosen a job to apply for, make a short plan. List the documents you need, the questions you still have and what to finish before you send the application.

Check where and how to apply

Open the employer’s official application page and check that the job is still accepting applications. Note the deadline, required documents, questions and file formats. If a link or instruction is unclear, check it before entering personal details.

Keep the job posting and application instructions together. Check the current posting before you apply, because a saved job may have changed or closed.

Write down what you need to do

Copy this outline into your notes. Set a date for each task you still need to finish. If something is unclear, write “to confirm” and add a task to check it.

Job details
Employer, job title, posting link and where to apply.
Application instructions
Deadline, required documents, file formats and questions to answer.
Relevant experience
What matters most in the job and real examples from your background.
Documents to prepare
The resume you will use, a cover letter if needed and any other requested materials.
Questions to check
Unclear instructions, working arrangements or details about where to apply.
Next task
What you need to finish next and when you plan to do it.
Submission details
When you submitted, the confirmation you received and the materials you sent. Leave this blank until you have submitted.

Example: one task left before applying

Fictional example: you plan to apply on Thursday. Your resume is ready, but the employer also asks for a short answer about coordinating a project. Choose a project you worked on, write the answer and check that the details agree with your resume.

Keep the application marked as in preparation until you have finished the answer and submitted it. Then record the confirmation and the versions of the documents you sent.

Keep track of what happens next

After you apply, keep the employer’s confirmation with the job. Note what happens next and any dates you have agreed. For an interview, prepare examples from the same experience you described in your application.

If you decide not to apply or the job closes, record what happened and why. That helps you decide where to spend your time next.
